As our Bilingual Administrative Specialist, you'll be at the heart of our operations-ensuring smooth processes, assisting staff, and providing friendly, responsive support to team members and community members alike.

Who We Are:

We are United Way of Lane County, a local non-profit mobilizing communities to action so all can thrive. We're looking for a Spanish-bilingual Administrative Specialist to help keep our team and operations running efficiently-so we can continue making a positive impact.

What You'll Do:

You'll play a crucial role in our organization by providing top-notch administrative support, ensuring seamless communication, and keeping our office and programs organized. Your key responsibilities will include:

Phone & Communication

  • Manage all phone correspondence and messaging for staff.
  • Maintain and troubleshoot the phone system to ensure smooth operations.

Facilities Support

  • Assist with facility maintenance coordination, vendor management, and scheduling.
  • Help keep our workspace functional and welcoming by handling minor upkeep, watering plants, and restocking essential supplies.

Program & Project Support

  • Lead the Ride United program, coordinating with partners, placing orders, attending meetings, and overseeing annual reporting.
  • Support various teams with administrative and project needs (approx. 25% of your time).
  • Provide backup support for volunteer programs, preschool application processing, fundraising efforts, and contract management.

Event Coordination

  • Help plan and execute community events, trainings, and outreach efforts.
  • Track event data and ensure materials are stocked and ready for the next event.

Administrative & Office Support

  • Manage incoming and outgoing mail, order office supplies, and maintain organized inventory.
  • Welcome guests, respond to inquiries, and assist Spanish-speaking community members.
  • Provide HR support, including interview prep and employee file management.
  • Assist with document creation, filing, copying, meeting prep, note-taking, and action tracking.

What You Bring

✔️ Spanish bilingual required; bicultural experience preferred.

✔️ Strong organizational skills with attention to detail and excellent follow-through.

✔️ Ability to anticipate needs, identify challenges, and take initiative to solve problems before they arise.

✔️ A flexible, solutions-focused mindset-able to think critically and adapt quickly.

✔️ Clear and professional communication skills, both verbal and written.

✔️ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

✔️ Comfortable learning and troubleshooting new technology.
