Description:

The Medical Records Lead is responsible for developing and maintaining an effective Medical Records Department. This person will oversee and coordinate the assembly, distribution, and maintenance of patients' medical records. Monitors workflows, works with medical records staff and clinical personnel in order to ensure medical records needs are being met to promote exceptional patient care.

Duties:

  • Responsible for coordinating and scheduling workload of personnel engaged in compiling, indexing, and retrieving records to be placed in the patient electronic medical record according to established regulatory, department and clinic requirements.
  • Monitors the accurateness of patient records and documentation of data collection in the electronic medical record.
  • Maintains specific and necessary controls to ensure confidentiality of patient medical records, strictly adheres to HIPAA policies.
  • Assists departments with any outside audits that require patient medical records to be submitted.
  • Recommends and implements operating policies and procedures.
  • Performs duties of Medical Records Specialist or Medicals Records Resource in response to workload demand, vacation, illness and the like.
  • Manages and coordinates a system for safeguarding and updating active and inactive patient medical records.
  • Participates on applicable committees and recommends policy changes as necessary.
  • Ensures timely communication of clinic and department information to department staff through individual, small group or monthly department meetings.
  • Works with compliance officer/CEO/COO/CFO the processing of subpoenas and depositions consistent with legal regulations
  • Research new technology to improve maintenance, handling and retention of patient medical records, recommends new equipment and methods, and implements same when approved.
  • Responsible for managing staff, conducting interviews, recommends hiring of, orients, trains, assigns work, evaluates the performance of staff and when necessary, works with Human Resources for disciplinary action if needed.
  • Interacts with Human Resources in resolving the complex employee relation problems.
  • Other duties as assigned.

Necessary Skills:

  • Ability to organize and prioritize responsibilities.
  • Ability to manage staff working on site and remote to ensure staff are staying on task and doing the appropriate amount of work in a given day.
  • Skill in motivating and monitoring employee performance.
  • Ability to effectively manage staff and to fully understand medical record keeping procedures, medical terminology, HIPAA and other applicable regulations, and to become familiar with the clinics EMR.
  • Ability to maintain confidentiality of sensitive information.
  • Interpersonal skills necessary in order to communicate effectively with various clinic personnel/departments regarding gathering data and resolving problems.
  • Analytical skills necessary in order to prepare various reports, analyze chart filing and delivery procedures for improvement, and assist in the development of departmental policies and procedures.
  • Skill in identifying and resolving problematic situations quickly.
  • Ability to establish and maintain effective working relationships with physicians, providers, management, staff, and contacts outside the organization.
  • Ability to consistently support and enforce established company policies and procedures.

Physical Requirements:

  • Requires sitting for prolonged periods of time and some bending, stooping, and stretching.
  • Requires hand-eye coordination and manual dexterity necessary for the operation of basic office equipment such as a computer, calculator, photo copier, fax, and telephone.
  • May be required to lift 25 pounds.
  • Requires the ability to work quickly and accurately in a faced paced environment.

Working Conditions:

  • Work is performed in an office environment Monday-Friday, 40 hours per week and involves contact with physicians, patients, staff, laboratories, outside clinics/hospitals.
  • Work is performed on site.

  • Excellent problem solving skills and ability to review workflows with team to ensure they are efficient and accurate.

Experience:

  • Minimum of two years - Medical records experience in a clinic or hospital setting required.

Education:

  • High School degree
  • Health information/medical records background highly preferred
